Invoicing, bills and the bank

The admin that eats your week, mostly done.

Raise an invoice in a minute. Upload a supplier’s bill, or a photo of a receipt, and it is typed up for you. Drop in the bank statement and every payment is matched to what it settles. Evalu8 Pro does the repetitive work, keeps a live picture of who owes what, and leaves the decisions to you.

Starts from a ready-made model of a trading business, which you change to fit the way you actually work.

Example figures. Your invoices with their due dates, and Ask answering in plain English with the records it used.

The problem

Copy, paste, chase, repeat

  • The same numbers, typed twice

Orders in one place, invoices in another, bills on paper. Every figure gets keyed in again, and every time is a chance to get it wrong.

  • Month-end takes a weekend

Ticking off bank lines against invoices and bills by hand is slow and dull, and one missed payment throws everything out.

  • Nobody is quite sure who has paid

Without a live view, chasing depends on someone remembering to check, and the answer is out of date by the time it arrives.

What it takes off your plate

The jobs you do every week, and what happens instead

  • Typing up invoices in WordNumbered for you, totals and VAT worked out, and a PDF on your letterhead
  • Keying in supplier billsRead from a PDF or a photo into the supplier, the lines and the totals, for you to check
  • Ticking off the bank statementEvery payment scored against open invoices and bills; approve the strong matches at once
  • Asking around about who has paidInvoices are marked paid as their payments are approved, so “Owed to you” is always current
  • Copying this month’s export into a spreadsheetAI maps the columns once, and next month’s file goes straight through
  • Building the month-end figuresRevenue, margin, money owed each way and cash flow, live on the dashboard
  • Digging through folders for an answerAsk in plain English, and get the answer with the records it came from
  • Systems that don’t talk to each otherYour shop, CRM or warehouse system connected through its API, on a schedule

How it works

The repetitive part is done for you. The decisions stay with you.

Invoices in a minute, numbered your way

Pick the customer, add the lines, and the totals and VAT work themselves out. The number follows on from your last one, even if that was in Word, and the PDF carries your address, VAT number and payment details.

Quotes, purchase orders and job sheets can work the same way: each one is a few lines in the model, with its own editor, numbering and PDF.

Bills and receipts, typed up for you

Upload a supplier’s PDF or a photo of a receipt, and AI reads it into the supplier, the lines and the totals. You see exactly what will be added before anything is saved, and a new supplier is added as it goes.

Spreadsheets work the same way. AI maps the columns of an export onto your records once, and next month’s file with the same columns goes straight through without asking again.

The bank, matched

Drop in your bank’s statement export and Evalu8 Pro weighs every payment against every open invoice and bill: the reference on the line, the amount, the name and the dates. Each suggestion shows its reasons.

Approve all the strong matches in one go, check the rest, and undo a recent one if you need to. Invoices and bills are marked paid, with the date, and your figures move straight away.

Always know who owes you

What you are owed, what you owe, revenue, margin and cash flow sit on the dashboard and update as data arrives, with targets and an alert when something moves sharply.

When you need a list rather than a number, just ask: “which invoices are past due?”, “who are our biggest customers?”, “how much have we spent with Northwind?” Every answer names the records it used.

The model behind it

Shaped to how you actually work

Evalu8 Pro starts from a ready-made description of a trading business: customers, orders, products, suppliers, invoices, bills and the bank. Because it is a description rather than code, it bends to fit.

Invoice by the hour? Add timesheets. Run jobs? Add job sheets with their own PDF. Different tax rates? Change one line. Every change shows up on every screen, form and export at once.

In the model, in plain English

An invoice is a bill you send to a customer.

It is numbered INV-0001 onwards, and is due 30 days after its date.

Its lines add up to the subtotal, and VAT is 20% of that.

A payment in settles an invoice when the reference, the amount and the customer agree.

Owed to you is the total of the invoices not yet paid.

  • Lists, pages and formsfor every kind of record, with search
  • Documentsan editor, a preview and a PDF, numbered your way
  • Matchingbank payments suggested against what they settle
  • Numbers and an APIKPIs with targets, and every record for your other systems

Automation you can check

It does the rounds. You make the calls.

  • You see it before it is saved

Every bill, export and statement shows what it will add and change first. Nothing is written until you say so.

  • A person approves every match

Payments are only set against invoices and bills when someone says so. Each match records who and when, and a recent one can be undone.

  • It works alongside your accountant

Evalu8 Pro keeps the records, documents and numbers in one place. It doesn’t file returns; your accountant gets clean, matched records to work from.

Getting started

Running by this afternoon

Most of the work is files you already have. Bring them in, check what they add, and let the platform take it from there.

  1. Start from the trading model

Sign up and pick the ready-made model, then rename and add what you need with simple forms.

    Customers · Invoices · Bills · Bank

  2. Bring in what you have

Upload last month’s bank statement, your customer list and a few supplier bills. Each file shows what it will add before anything is saved.

    statement.csv · customers.xlsx · bill.pdf

  3. Let it do the rounds

Raise invoices in the app, approve the bank matches each week, and keep an eye on the dashboard. Change the model whenever the way you work changes.

Questions

Is this accounting software?
No. It keeps your invoices, bills, payments and numbers in one place and does the repetitive work around them. It doesn’t apply accounting rules or file returns; your accountant still does that, with cleaner records.
Can it read supplier bills and receipts?
Yes. Upload PDFs or photos and AI reads them into records for you to check. For bank statements, your bank’s CSV export is the most reliable route, and it imports without AI.
Can I change how invoices look and are numbered?
Yes. The numbering, defaults such as due in 30 days, the columns on the lines and the labels are all in the model. Your address, VAT number and payment details go on the letterhead from Settings.
Will AI change my figures?
No. AI reads files and suggests how a spreadsheet’s columns map onto your records. What it reads is shown to you first, and nothing is saved until you confirm.
Can it connect to our shop or CRM?
If it has a JSON API or a PostgreSQL database, yes: orders and customers arrive on a schedule and join up with everything else. If it only exports files, upload those.
What does the AI see?
To read a bill, that file. To map a spreadsheet, your model, the column headings and the first rows. To answer a question in Ask, the records it looks up. It never sees your connection keys.

Get your week back.

Start from the ready-made model, upload last month’s bank statement, and see what Evalu8 Pro matches for you.
